Privacy and Data Policy — IELTS Laboratory

1. Who we are
IELTS Laboratory is operated by Will Salisbury, carrying on business as Learning Laboratories and trading as IELTS Laboratory. Privacy enquiries and requests: will@ielts-laboratory.co. Address for notices: Vancouver, British Columbia, Canada.
2. What this policy covers
This policy covers ielts-laboratory.co, courses.ielts-laboratory.co, Writing diagnostics, Speaking courses and recording activities, reports, learning tools, saved work, teacher-linked reports, purchases, support and related service emails.
3. Information we collect and create
Depending on the features you use, we may collect and create account and contact details; course enrolment and progress; payment references; Writing submissions and diagnostic reports; Speaking recordings, automated transcripts and reports; vocabulary answers, marks, saved notes and practice work; teacher codes or teacher email addresses you choose to provide; consent and communication choices; and technical, security and error information such as IP address, browser details and service logs.
Writing and Speaking submissions can contain personal details about you or another person. Do not include information that is not needed for the learning activity, and do not record another person without permission.
4. How we use information
We use information to operate accounts and courses, reconnect saved work to the correct learner, provide Writing and Speaking analysis, generate and deliver reports, save progress, process purchases, answer support requests, prevent misuse, diagnose faults, meet legal obligations and improve the service using appropriately aggregated or de-identified information.
5. Service providers
Relevant providers may include LearnWorlds for accounts, courses and progress; Cloudflare Workers, R2 and Workers AI for infrastructure, storage and Speaking transcription; Airtable for operational and learning records; Anthropic's API for automated Writing analysis; Resend for verification and requested service emails; MailerLite for marketing only where a person has opted in; and payment providers shown at checkout. We do not sell personal information.
6. Speaking recordings and microphone access
Microphone access is requested only when a recording activity needs it and remains controlled by your browser or device. Speaking audio and answer content can identify a person even where a name or email address is removed. Do not treat a recording as anonymous. Automated transcription may mishear you.
7. Teachers, private reports and optional sharing
A report is intended to be private. A teacher may receive or view it where you deliberately use that teacher's code or enter a teacher email address and choose to send it. Keep report links confidential. A recipient may retain a copy already received. You may contact us to stop future teacher deliveries or request removal of hosted material under our control.
If a feature offers optional sharing with other learners or a wider audience, sharing is off unless you actively choose it. Read the notice shown at the point of sharing before making that choice. Do not share another person's work or personal information without permission.
8. How long we keep information
We keep identifiable information only for as long as reasonably needed to provide the service, meet legal or accounting requirements, protect security, resolve disputes or honour a valid consent. Legal exceptions and copies independently retained by recipients may limit what can be removed.
9. Your choices and requests
You may ask to access, correct or delete personal information, withdraw an optional consent, stop future teacher access, remove optional learner-to-learner sharing, unsubscribe from marketing or raise a privacy concern by emailing will@ielts-laboratory.co. We may need to verify your identity before releasing or deleting information.
10. Automated processing
Writing may be analysed by an automated diagnostic system and a third-party artificial-intelligence service. Speaking may be transcribed and analysed automatically. These tools can produce inaccurate feedback. They do not make legal or similarly significant decisions about learners. Contact us if you believe a report contains a serious error and would like the concern reviewed.
11. Service email, marketing and cookies
We may send service messages needed for a feature you request, including verification codes, receipts, account notices and report links. Marketing is separate and optional where consent is required. Unsubscribing from marketing does not stop requested service messages.
We and our providers use cookies or local browser storage where needed for accounts, security, checkout, course operation, saved work and available analytics. You can use the site's consent controls or your browser settings where applicable, although blocking necessary storage may stop some features from working.
12. Children and young people
The service is intended for people aged 16 or over. A person under 16 must not create an account or submit Writing or Speaking work unless a parent or legal guardian has contacted us and arranged the account.
13. Security and changes
We use administrative and technical measures intended to protect personal information, but no online system is completely secure. Keep account credentials and report links private.
We may update this policy when the service or law changes. The current version and date will be published on this page, and affected users will be notified or asked for renewed agreement where required.
